New Data Protection Legislation is coming in to force in the UK on 25th May 2018. The General Data Protection Regulation (GDPR), is EU wide legislation, and is currently being enacted into UK law and will become the 2018 Data Protection Act.
This legislation will affect every business that handles personal data for clients, customers or staff. Personal data has been defined by the act as ‘any information relating to an identifiable person who can be directly or indirectly identified’.
Information We Collect
The personal data we collect on you will include information relating to your name, address, date of birth, and wider contact details. We will also collect data via your treatment notes which may include information about any relevant health or disability issues. We only collect and retain personal information in order to provide you with a service such as Sports and Remedial Massage or Soft Tissue Therapy.
If you make a booking online or phone us to make a booking we are required to ask for your name, date of birth, address and postcode in order to maintain a professional record of your treatment.
We will ask for a telephone number in order to contact you in case of emergency or if we need to cancel or change your booking time.
This data is potentially shared with third parties such as the clinics within which you are seen: The Coach House clinic, Lavender Heal, Pilatesfit at Vinery Rd Studios, One Life Training or Penn Farm Physio, your GP or with your healthcare provider. You will have been notified of our intention to do this first (except if the data was relevant in an emergency situation).
We will also ask for your email address in order to provide you with appointment confirmations, reminders and receipts. You may choose not to opt into this service.
Personal data will not be kept for longer than is necessary.
We will retain your data and treatment notes for 8 years after your last treatment as specified by our Professional Indemnity Insurers.
In the case of minors records will be kept for 7 years after they reach the age of 18, i.e. until their 25th birthday or until their 26th birthday if the client was 17 when the treatment ended.

In running and maintaining our website we may collect and process the following data about you:

- Information provided voluntarily by you. For example, when you register for information or make a reservation or purchase.
- Information that you provide when you communicate with us by any means.
We may gather information about your general internet use by using the cookie. Where used, these cookies are downloaded to your computer and stored on the computer’s hard drive. Such information will not identify you personally. It is statistical data. This statistical data does not identify any personal details whatsoever

Such additional information will only be provided where you have consented to receive such information via a tick box on your client history and by which means of communication you wish us to use with you (if at all as you can decline to do this) eg, Email, Post, Txt etc

If you have previously purchased goods or services from us we may provide to you details of similar goods or services, or other goods and services, that you may be interested in.
Where your consent has been provided in advance we may allow selected third parties to use your data to enable them to provide you with information regarding unrelated goods and services which we believe may interest you. Where such consent has been provided it can be withdrawn by you at any time.
Storing Your Personal Data
We will take all appropriate technical and organizational steps to protect the confidentiality, integrity, availability and authenticity of your data.
In operating our website it may become necessary to transfer data that we collect from you to locations outside of the European Union for processing and storing. We do our upmost to ensure that all reasonable steps are taken to make sure that your data is treated stored securely.

We will never share your personal information with a third party/parties as part of our service provision to you, without your consent, except when safeguarding issues are raised or if we are required to do so by law.
